Information Exchange

This article sets out the information exchange between Assurco branch offices, partners, agents, franchisees and clients.

8.5.1 Information on certification activity and requirements

We will provide information and update clients on the following;

a) Detailed description of activities relating the initial certification and subsequent maintenance of it. 

b) Normative requirements of certification.

c) Fees relating to application, initial and continued certification.

d) Requirements for clients to;

  • Comply with the requirements of certification
  • Making documents available for audit, providing access to required areas, records and personnel, and any other necessary arrangements for initial certification, surveillance, recertification and resolution of complaints.
  • Accommodate observers such as accreditation assessors or trainee auditors.

e) We will provide documents describing the certified client’s rights and duties, as well as how certification can be used in communications such as advertising and marketing materials.

f) We will ensure clients are made aware of our processes for handling complaints and appeals. See our Complaints Procedure.

8.5.2 Notice of change by certification body

Any changes of requirement to certification will be communicated to certified clients, and we will verify that the client complies with the new requirements.

8.5.3 Notice of change by a certified client

The client must report immediately to us anything that affects the capability of the management system which may affect its ability to fulfil the required standard for certification. This could be changes that relate to;

  • Status or ownership
  • Organisation and management
  • Address
  • Scope
  • Major changes to the management system and processes.

Note: Where certification activities are delivered through branch offices, partners, agents or franchisees, Assurco Limited remains the certification body and retains full responsibility and authority for all certification activities, including audit planning, audit outcomes, certification decisions, suspension, withdrawal and complaints and appeals handling. Clients’ rights and obligations are unchanged regardless of the delivery model.
